UAB "RM Tools" – a company engaged in supplying professional tools and technical solutions to industrial companies – made an important decision: they transitioned from a previous Odoo partner in Lithuania to the devtouch! team. This transition marked a significant breakthrough in their business process efficiency, system reliability, and overall employee satisfaction. Our goal was not only to update and optimize the system but also to create a stable, fully customized ERP environment that meets the real needs of the client.
Fast and efficient migration in less than a month
The migration project started with a clear goal – to transfer the system from Odoo version 17 to version 18. The work was completed in a record short time – in less than a month. This was made possible due to our experience, well-structured migration methodology, and close collaboration with the client's team.
During the migration, a complete audit of the modules was conducted, data was purified and cleaned, and incorrectly installed Python code was corrected, ensuring their integrity in the new system. Great attention was paid to business-critical data – both accounting and employee, product, and customer histories.
Transformation of the accounting system
Before the migration, RM Tools used an accounting system implemented by another partner, which was integrated with Odoo, but operated unstably – frequent incidents, inaccuracies, and slow performance hindered daily work. Our team completely reconfigured the accounting module, integrated it with the devtouch accounting module, which complies with Lithuanian VMI and EU standards, and disconnected the inefficient Accounting module that was blocking the system and operating inaccurately.
We switched to modules that maintain data accuracy, help accountants complete tasks faster, and reduce the likelihood of human errors. Accounting operations have become not only more stable but also more automated – the need for manual work has significantly decreased.
i.SAF, i.VAZ, GPAIS, and Intrastat – everything works stably.
Along with the core accounting, RM Tools immediately chose to use our additional modules designed for submitting declarations. The following modules were implemented and configured:
- i.SAF and i.VAZ– ensured smooth integration for the transfer of invoices and waybills with VMI. The system automatically generates declarations without additional employee intervention, thus reducing the risk of errors.
- GPAIS– an implemented and adapted packaging accounting module that allows for smooth data submission regarding packaging usage in Lithuania.
- Intrastat– a module that allows for the submission of reports on the movement of goods between EU countries without additional manual work.
These modules significantly reduced the administrative burden on RM Tools related to mandatory VMI processes.
Payroll accounting optimization.
Until now, RM Tools' payroll accounting was conducted using a different salary calculation methodology that was not tailored to their internal needs. Transitioning to the devtouch payroll accounting solution in the Odoo system has made employee schedules, vacations, sick leave, business trips, and salary calculations part of a seamless process, integrated directly into Odoo and fully adapted for salary calculations in Lithuania.
The new system allows:
- Automated calculation of salaries and social security taxes
- Management of work schedules
- Submission of self-service vacation requests
- Generation of payroll reports and exporting them to the banking system
This has significantly reduced the workload of the human resources department and the risk of errors.
Management of cash registers and i.EKA
During the migration, the cash register accounting was completely overhauled and the devtouch-created i.EKA system was implemented. Previously, RM Tools constantly faced issues – the cash register systems would freeze, proper fiscalization was not performed, and incidents occurred.
After fully transitioning to the devtouch cash register module, the results speak for themselves – in the first month after launchno incidents related to cash devices were reported. The solution operates stably, and data is sent to the tax authority automatically, without any additional actions required from the operators.
Document management and digitization of personnel self-service
Before the migration, RM Tools employees used paper forms for business trips, vacation requests, and other personnel documentation. All of this was filled out manually and posed many administrative challenges.
Now:
- Vacation requestsandtravel expensesprovided electronically through Odoo.
- Managers receive notifications and approve requests with one click.
- Documentation is stored in a unified system, quickly accessible and linked to the employee's profile.
This solution not only saves time but also reduces the risk of human errors, allowing the HR department to focus on more important tasks.
System performance and operational stability
After the full migration phase, a system analysis and optimization were performed. Data indexing mechanisms were improved, server resources were updated, background processes were simplified, and the PostgreSQL database was optimized. All of this increased system performanceby about 30–40 %, compared to the previous platform.
Employees immediately felt the difference – both browsing and data filtering or report generation speeds increased, contributing to faster decision-making.
